Hacienda Requested Documents for a VAT Return (Modelo 303): What Autónomos Need to Know
Many self-employed professionals in Spain believe that once a VAT return (Modelo 303) has been submitted, the process is finished.
In reality, Hacienda may review previously filed returns and request supporting documentation months later.
Recently, a taxpayer received a formal request regarding a previously submitted Modelo 303. The request provides a useful example of the documents Hacienda may ask for during a routine verification process.

What Documents Did Hacienda Request?
The tax authorities requested four categories of information.
Sales Invoice Register (Libro Registro de Facturas Emitidas)
Hacienda requested a complete register of all invoices issued during the reviewed period.
This register allows the tax authorities to verify that the revenue declared in Modelo 303 matches the invoices issued to customers.
Purchase Invoice Register (Libro Registro de Facturas Recibidas)
The request also included a complete register of supplier invoices received during the same period.
These invoices support deductible business expenses and input VAT deductions claimed in the return.

Proof of Business Activity
In addition to accounting records, Hacienda requested a brief explanation of:
- The business activity performed
- The type of clients served
- How the activity is carried out
- Resources used to provide services or products
This information helps the tax authorities determine whether the reported expenses are reasonably connected to the taxpayer’s business activity.

Supporting Documents for VAT Deductions
Hacienda also requested copies of invoices and supporting documents related to expenses on which VAT deductions had been claimed.
This is one of the most common areas reviewed during VAT verification procedures.
In one recent verification procedure involving a remote professional working for a U.S. company, Hacienda questioned VAT deductions relating to a laptop, mobile phone, tablet and headset used for work. Although the taxpayer's professional activity and invoices were accepted, most of the technology-related VAT deductions were challenged.

How Much Time Do You Have to Respond?
In this case, the taxpayer was given only 10 business days to provide the requested information.
That may sound like enough time, but finding invoices, receipts, contracts, and supporting records can quickly become challenging if documents are not organized.
Why Document Organization Matters
Filing a tax return is only one part of tax compliance.
Every figure reported in Modelo 303 should be supported by documentation that can be located quickly if requested by Hacienda.

When records are organized, responding to Hacienda may take a few hours. When records are scattered across emails and cloud storage, the same process can take days.

Can Hacienda Audit an Autónomo?
Yes. Any autónomo in Spain can be selected for a tax review, verification procedure or inspection by Agencia Tributaria.
However, receiving a request for documents does not automatically mean you are being audited in the way many people imagine.
In many cases, Hacienda is simply carrying out a verification procedure to confirm that the information reported in a tax return matches the supporting documentation.
Common reasons why Hacienda may request additional information include:
- Large VAT refunds
- Significant deductible expenses
- Differences between tax returns and third-party information
- Missing declarations
- Random verification checks
For example, if an autónomo claims a substantial VAT deduction on equipment, software subscriptions, vehicles or other business expenses, Hacienda may ask for invoices and supporting documentation before accepting the deduction.
The same may happen with certain purchases from other EU countries. If a supplier issued a VAT-free invoice using your Spanish VAT number, Hacienda may ask whether the transaction was correctly reported in Modelo 303 and whether any VAT deduction was justified.
